Our Front of House team are looking for a positive, proactive person to work in our thriving equestrian centre. This customer facing role is based at reception in our modern Club House. This position would suit someone who is friendly, confident and efficient and enjoys multi tasking on a daily basis.

Reception and Bookings

Areas of responsibility:

Riding School Bookings – You will be responsible for overseeing all bookings associated with the riding school and training centre. This will involve liaising with your colleagues to ensure the following are covered:

Taking bookings via telephone and in person from existing clients and prospective new customers and ensuring that all associated administration procedures are accurately completed.
Answering email & other enquiries on a daily basis ensuring timely replies. Proactively introducing clients to Wellington, including showing them around the facilities and converting prospective enquiries into active bookings.
Preparing daily riding sheets ensuring other staff have carried out associated tasks involved. Ensuring all daily horse/arena lists are completed in a timely fashion.
Liaising with Instructors and other team members to ensure that the online teaching diary is workable and up to date.
Planning & preparation of lesson scheduling, timetables, pricelists & promotional literature & ensuring adequate stocks of all promotional material.
Co-ordinate the membership scheme including promoting memberships to new & existing riders, processing of new membership applications and renewals.
Co-ordinate and manage the Schools Riding Programmes, liaising with the school contact, arranging term dates, invoicing and other admin tasks.
Assisting your colleagues on a daily basis with all enquiries coming into the office such as taking holiday booking questions, show queries and every other eventuality.
On a daily basis handling cash and other payments coming into the office and also cashing up at the end of the working day.

Retail Shop – Acting in a support role with your colleagues, you may be involved in the following:

Ordering of stock, checking deliveries, pricing of stock before display, restocking shop.
Ensuring the retail area is kept tidy and in good order.

Advertising/Marketing – you will make posts/updates and changes as needed to the website, prepare adverts for Junior or adult holidays, lessons or shows as required. You will take responsibility for the Monthly Members Newsletter and liaise with other colleagues to collate information.

General Duties

Ensuring that at all times 100% customer service levels are maintained and that good customer relationships are built and trust is established quickly.

Promotion of all areas to support sales.

Ability to understand and interpret the company’s philosophy, capabilities and services; effectively communicating all relevant products and services to our clients.
Ensuring all processes and procedures are completed according to the necessary deadlines and are followed through efficiently.
Working with all other departments and undertaking general office duties to support other administrative staff as necessary, such as taking holiday booking questions, show queries and every other eventuality.
Ensuring the safety and welfare of client & staff and clients is paramount. To contribute to the control of costs through economic use of consumable materials.
Keeping the Managers informed of any issues that may arise relating to all aspects of the role.

Person Specification:

You must enjoy a customer facing role & have an excellent, proven track record of working within a customer focused environment.
You must be a pro-active, organised team player with excellent spoken and written communication skills.
It is essential that you have excellent IT skills & a strong working knowledge of social media. The ability to adapt to in-house databases and booking systems would be a real advantage.
The position requires commitment, focus, accuracy & attention to detail. You must be flexible with regards to duties and hours.
You must enjoy working in a very busy environment where deadlines are crucial and at all times you must maintain your sense of humour.
Some experience of accounting procedures & cash handling is desirable but not essential.
DBS certification and First Aid qualification or the willingness to obtain certification is needed.
An equestrian background is highly desirable.
You will be a driver with your own transportation (due to hours and distance from public transport networks).

Working hours – 08.45 – 17.45 with a regular working pattern of Tuesday to Saturday & this may include up to two early mornings/evenings per week when events are being held, for which time will be give back in lieu. Your regular evening responsibilities are Wellington Saddle Club & Wellington Pony Club which usually take place on Friday evenings a couple of times per month.

Holiday cover – You will need to be available to cover occasional days as holiday cover for other office staff. Time off will be given in lieu for this holiday cover from the usual working week.

Salary & Package:-

Annual salary between £20,000 & £22,000 depending on experience
5 day week, days off Sunday & Monday
Normal working hours 08.45am to 5.45pm with one hour for lunch, flexibility required on event days and for holiday cover
28 days holiday to include Statutory Holidays
